Assigning an Action and the Actions Page

Ad-Hoc Actions 

One of the most used functionalities in Zaptic is the ability to create actions against reports. This is really useful for use-cases such as defect management as it allows you to create follow-up actions in a way where everyone assigned can clearly see the originating issue. 

    • From within this App page, actions will be created and assigned to individuals or teams completely standalone. 
    • This page also shows you a view of all the actions which you have created for others, making it easier for you to track and see their progress. 

*When a new action is raised, the assigned party will then be notified of the new action by email, which will also appear on their To Do list.

Actions can be assigned to teams and when this option is selected, a secondary completion option is available. This is similar to when scheduling for teams in Zaptic. 

As per the below example, the action will be assigned to all members of the team i.e. 5 actions will be created. 

Note: This is different from creating an action to be completed by any member of the team (one assignee needs to complete)

 

Assign actions from a report

From the completed report page (also known as the report post page), an action can be raised using the lightning bolt symbol. 

 

 

An action can either be a:

    • Simple action - When completing the action, the user must enter text and can optionally add supporting media / documentation
    • Workflow action - When completing the action, the user is taken to the pre configured step by step workflow that has been attached to this action. E.g. If the action is "Please complete a 5S audit of the area" a template for the 5S audit can be attached. 

Once a action is raised it will appear in the audit trail for that report alongside comments and status changes.

 

 

Assign actions to units: Specify which equipment or area (or any other unit) you wish to attach the action to. This allows actions raised ad hoc to be given further meaning and filtered to location in task manager boards.

Completing an action

The action will appear on the To Do list of the person or team to whom it was assigned.

 

Access the "History" of the action to see the data from the report against which it has been raised in a single click. This can help you get an understanding of the issue before solving it.

To view the previous report in more detail click on the "Go to report" button.

 

 

Complete the action by adding a comment explaining what you've done and any additional media or documents are required.
