Guides allow you to add useful contextual information to a task. Some potential examples include Standard Operating Procedures (SOPs), Videos, Pictures or Work Instructions. 

You can use them to improve efficiency and increase productivity, as the information required to complete a task can be available to the operator in the same place as the task itself.

Effortlessly search and organise your entire knowledge bank, spanning all procedures and units, and surfacing information faster and more seamlessly!

Search Beyond Titles

Finding the right guide is simple when you search for Guides. Searching isn't limited to just titles. You can also search based on their content and description. This means more relevant results, faster discovery, and less time spent searching. Whether you remember a key phrase or just the general topic, you’ll find the right guide when you need it.

Create and Edit Guides from the Guides Homepage

You can also create / add Guides  via the Data Management Level or at the Procedure level - the way to create a new guide is the same.

Once you Save your guide - it will appear centrally in the Guides Home tab and the operator will be able to access the Guide within the app when using that Unit (such as a Machine). 

 

Top Tip! - You can use the 'Link' content option to hyperlink to a file - such as a SharePoint guide. 

This will allow your teams to access dynamic content outside of Zaptic (such as SharePoint) - all in one place and at the point of use. 

This is useful if you already use a LMS, QMS and are looking to supplement these with Zaptic.

You can work with multiple guides at the same time using the Bulk features. 

Save time by uploading multiple files simultaneously to create them as guides, using the bulk import button.

Delete multiple guides at once, by using the table view and checking the selection boxes and selecting the delete icon .

Bulk actions

You can bulk add tags and linking to units and procedure for multiple Guides, by simply using the table view,  checking the selection boxes and selecting the edit.

Shop floor guide capture 

Create guides captured on the shop floor using simple tasks capturing text and media by converting their reports into guides at a click of a button.

Linking a Guide to Multiple Units / Procedures

You can create a single guide and link it to multiple procedures, machines or lines at the same time.

Web Guides


If you house training content, OPLs and SOPs in another system, you can now bring these in easily to Zaptic using a web link.

The best part? You don’t need to worry about keeping multiple copies updated!

Linking Guides to Steps

After creating your guide, you can then embed the guide directly into tasks and training and make use of the “One click help” module. This displays the Guide within the task in question. Operators will now save time by being able to see relevant documentation right in Zaptic, rather than having to hunt for paper manuals or other physical media.

Don’t forget to save your Procedure after embedding your new guide.

 

Embedded Dynamic Guide Filtering

Cut out the noise to help operators find knowledge faster with dynamic filtering for guides!

Enabling this option filters the guides attached to a step by the report subject, such as machines or products.

Enabling operators to have access to the right knowledge at the right time can now be done with just a few button clicks! Dynamically surface the right guide based on their tag in flows and content loops, saving you even more time when creating tasks.

Guides in Zaptic App

Once your guide is in Zaptic, operators will be able to access it in the app when using the related Unit (such as a Machine) or Procedure, depending on how you assigned the guide. 

For Unit-based Guides, the user can search for the Unit in the Zaptic app:

They will then see all the guides available for that machine.

‼️ When creating a new guide, consider how it will be used in the field. Use that information to help you decide whether to create your guide within a Procedure or within Data Management.
